Change or cancel a booking

Open the booking and use Change Booking or Cancel Booking. The studio’s cancellation and change policy decides whether it is free, costs a late fee, or can no longer be done from your side, and the booking shows you the policy and any fee before you confirm.

In this section

Open the booking from My bookings or from the calendar. Its Policies section states the studio’s rules for this booking, and its Actions section has Change Booking and Cancel Booking while you can still use them.

What the studio’s policy decides

  • If the studio offers a free window, cancelling or changing before its cutoff is free, for example “Free cancellation up to 24h before your booking.” Cancelling and changing each have their own cutoff, and a studio can offer no free window at all.
  • After the cutoff, the studio’s policy decides. Either it is no longer possible from your side: the button isn’t offered, and you contact the studio instead. Or it costs a late fee, which the booking states before you confirm, for example “A late cancellation fee of $45.00 applies.”
  • Where the studio allows late changes, the fee is based on what the change gives back: the hours it releases or the drop in price, whichever is larger. A change that gives nothing back, like the same hours in another room at the same price, is free.
  • Once a booking has started, it can no longer be changed or cancelled.

When you have already paid

When you cancel a single booking, you get back what the studio’s payment records show you paid on it, less the cancellation fee and anything else still owed on the booking. If you have already paid, the cancel confirmation also says what comes back, for example “$45.00 will be refunded to your original payment method.”

  • If the fee is larger than what you paid, nothing is refunded: the difference is charged to your card on file, or left as an amount due.
  • Money you paid other than by card is not refunded automatically: the studio arranges it with you directly.
  • This applies to a booking you pay for on its own. A session on a daily or weekly bill follows the same policy, and a late fee is added to your bill instead of being charged on its own.

Holds, series and classes

  • A tentative hold the studio placed for you can be cancelled for free at any time before it starts. To change it, contact the studio.
  • A week of a weekly series is cancelled from the series sheet (Manage in recurring series on the week’s booking), under the studio’s rules for series, and changed only by the studio: see Book a weekly series.
  • If you sell tickets to a class on this booking, its room, date and time are locked once someone holds a seat. Cancelling the booking cancels the class too, and before you confirm, the booking says how many attendees will be refunded and told: see Sell tickets to your class on the studio’s page.

ExampleSaturday, 3 hours, $90 paid

You booked Saturday 6–9 p.m. for $90 and paid with the card you saved at this studio, which charges no tax. Its policy: free cancellation and free changes up to 24 hours before, late cancellations allowed with a 50% fee, late changes not allowed.

  • Thursday, you cancel: it is free, and the $90 goes back to your card.
  • Saturday at noon, six hours before, Change Booking is not offered, and the booking says modifications are no longer available and to contact the studio.
  • Saturday at noon, you cancel instead. The booking says a late cancellation fee of $45.00 applies and that $45.00 will be refunded to your original payment method. You confirm, and $45 of your $90 comes back.
  • Had you paid nothing yet, there would be nothing to refund: the $45.00 fee would be charged to your card on file, or left as an amount due.
