Cancellation and change policy
You choose how many hours before a booking a renter can still cancel or change it for nothing, and what it costs them once that moment has passed.
In this section
There are two clocks and you set them separately: one for cancelling a booking outright, one for changing it. Each has a cutoff in hours, and each has its own answer for what happens after the cutoff — refuse the request, or allow it with a fee. Turning a free window off entirely is also an answer: it makes every cancellation of a confirmed booking a late one.
A fee is either a fixed amount or a percentage, and the number you type is before tax — the fee is then taxed at the same rates as the booking that produced it, so a $25 fee bills a little more than $25.
What the fee is charged ON is where the two situations part ways. A cancellation gives the whole slot back, so it is charged on the booking’s pre-tax subtotal. A change is charged only on what it gives back — the hours it releases, or the drop in price when it keeps the same hours — and a fixed fee is capped at that value, so a $50 fee on one released hour worth $40 charges $40.
Example24 hours, 50%
Your free-cancellation and free-change cutoffs are both 24 hours, late cancellations and late changes are both allowed with a 50% fee, and a renter holds Saturday 6–9 p.m. at $40 an hour — $120 before tax.
- Cancels Friday morning, more than 24 hours out: free, and anything already paid is refunded in full.
- Cancels Saturday at noon, six hours out: charged 50% of $120, so $60, plus tax on that $60.
- Shortens it Saturday at noon to 6–8 p.m.: one hour is given back, so the fee is 50% of that hour’s $40 — $20, not $60.
- Moves it Saturday at noon to the room next door, same hours and same price: the time is unchanged, nothing is released, and the change is free.
- Moves it Saturday at noon to Sunday evening: the whole Saturday slot is given back, so this costs the same as cancelling it — $60.
One consequence worth knowing: when free cancellation is on, a saved card is never charged while the booking can still be cancelled for free. A renter billed per booking is charged once that window has closed; a renter billed by the day or by the week is charged once that day’s or week’s sessions have ended. A renter who changes their mind in time is simply never charged.
