The calendar

The calendar shows one day at a time, one column per room. A booking’s colour tells you where its payment stands, and striped blocks are time that is not open for booking: closed hours, blackouts, held slots and linked rooms.

Moving around

Open Calendar in the menu. The arrows go to the previous or next day, and the date opens a month to pick from. Rooms are columns, in your rooms’ order, and the day runs down the page.

  • Beside the date, a chip shows Today, or that day’s opening hours on any other day.
  • Rate key lists the letter or icon each rate wears on that day’s bookings.
  • Colour key names the main colours below. It hides on a small screen, where each block still has its colour and icon.
  • Cancelled · 2 appears when the day has cancelled bookings, and shows them as faded blocks while it is on.
  • When the rooms don’t fit across the screen, All rooms fits every room in, Details gives each room the width to read its bookings, and Choose a room jumps to one.

What a booking’s colour means

Each block carries the renter’s name, or the booking’s title if one was set. Its colour answers one question first: is the booking Tentative? A tentative booking holds the time but is not confirmed yet. Otherwise the colour is its payment, worked out from the payments recorded on it:

  • Paid: nothing is owed.
  • Scheduled: a charge on the renter’s saved card is already planned; nobody has to collect it.
  • On daily/weekly bill: the renter is billed by the day or the week, and this booking is on that bill.
  • Unpaid: money is owed and the booking has not started. Partly paid, Fee due and Refund due share its colour.
  • Overdue: the booking has started and still owes money, even if part of it was paid. It is the only solid red block, so you can see it from across the room.
  • Payment failed: an automatic charge was tried and did not go through. Someone needs to follow up.
  • No payment collected or Refunded (grey): nothing is owed and nothing is held, such as a studio booking, a booking with no price, or one fully refunded. Credit held (teal): the renter keeps a credit on it. These are not in the Colour key.

Small marks on a block add what the colour cannot: part of a recurring series, has notes, a public class with its seats sold, a studio booking (time you hold for yourself, charged to nobody), and 2 due when the renter has unpaid bookings from earlier days.

Striped blocks

  • Closed: outside your opening hours.
  • Blackout (studio-wide) and Unavailable (one room): a booking rule set to Unavailable in Settings › Booking rules. When the rule has a reason, the block shows the reason instead.
  • Held slot: a finished series’ weekly time, kept for its renter for a set number of days. Selecting it shows the hold and what you can do with it. See held slots.
  • Linked room: the time is taken because a room it is linked to is booked. See linked rooms.

Booking from the calendar

Select a free time in a room, or drag over a stretch of time, and the booking form opens on that room and those hours. Select a booking to open its sheet, where you can change, cancel or collect it: see bookings.

Staff can select only free time. An admin can also drag through closed hours, a blackout or a held slot; the selection turns amber, and the booking is created as an override. A linked room’s time can never be selected. Admins also get Show late night (after midnight), which extends the day past midnight.

ExampleThursday, three rooms

On Thursday the front desk opens the calendar for the day. Studio A has a green block from 10 a.m. to noon, Studio B a red block from 9 to 11 a.m., and Studio C a striped Held slot from 6 to 8 p.m.

  • Studio A’s booking is paid: nothing to do.
  • Studio B’s booking started at 9 and still owes money: it is overdue. Selecting it opens the sheet to collect the payment.
  • Studio C’s evening is held for a renter whose series just ended. A staff member cannot book it; an admin can, as an override, or release the hold first.
