Rooms and rates

Each room you rent has its own rates. A rate is hourly, so the price follows the length of the booking, or flat, the same price however long it lasts. A room without an active rate cannot be booked online.

Rooms

Admins manage rooms in Settings › Rooms. Add Room asks for a Name (required), a Capacity, and, if you like, a Description, Amenities (comma-separated) and Room rules, which can use basic Markdown. The arrows set the order: rooms appear in this order on your calendar and booking pages.

Archive takes a room off the calendar and out of every booking form. It cancels none of its bookings, but they leave the calendar with it: they stay on the Bookings page, and editing one means moving it to another room. Activate brings the room back. Two rooms that share space, such as a hall that splits in two, are set up on the same page: see linked rooms.

Rates

In Settings › Rates, pick a room, then Add rate. A rate has a Name, an optional Description, a Pricing mode and its price, Rate, in your currency. When renters book, they choose among the room’s active rates.

  • Hourly: the price is the rate times the length of the booking, so 90 minutes at $40 an hour is $60.
  • Flat: the price is the rate, whatever the length.
  • Icon: the mark the rate wears on the calendars, once your studio sells under more than one rate name. Leave it on Letter and the first letter of the name is used.
  • Public classes allowed: renters who book this rate can turn their booking into a public class, where your studio has turned renter classes on.

Tax is added on top of the price. Your currency and taxes are set on the same Rates page: see Taxes and what your renter sees.

Archive a rate you no longer offer: it moves to Archived rates and stops being offered. Bookings already made keep their price; to edit one later, give it an active rate or a Custom rate.

When your team books

In the booking form, staff and admins pick one of the room’s rates or enter a custom price for that one booking. Only an admin can create a renter’s one-off booking with no rate at all.

ExampleStudio A, two rates

Studio A has two rates: Rehearsal, hourly at $40, and Full day, flat at $250.

  • Two and a half hours on Rehearsal cost $100 before tax.
  • The same two and a half hours on Full day cost $250: a flat rate does not care about the length.
  • Ten hours on Full day still cost $250, where Rehearsal would cost $400.
  • Archive Full day, and renters can no longer choose it. The Full day bookings already made keep their $250 until someone edits them.
